A complete tech pack is useful for a new development, but it is not required to begin a serious discussion. A catalog screenshot can start a ready-style RFQ. When the buyer has only a photo, the important extra step is to say what must be kept, what can change and whether the photo is a styling reference or a construction reference.
Use a different brief for each route
For a ready style, lead with the item number, color and size split. For a reference-led development, lead with the desired fit, measurements, fabric direction and construction details. For a branded order, add label, hangtag, care-label and packing artwork before the sample or bulk plan is confirmed. Quantity and destination help the quote discussion, but buyers can ask an early feasibility question before every detail is final.

A usable apparel RFQ is a decision brief
An RFQ is more than a request for the lowest price. It tells the factory which garment is being discussed, how many units are planned, how sizes and colors should be split, which finishing details are required and where the order is going. That information lets both sides separate a ready-style quote from a custom-development feasibility review.
Use one of these three RFQ formats
- Ready-style RFQ: item number, quantity per style, colors, size ratio, label or packing needs and destination.
- Reference-led development RFQ: reference images, target fit or measurements, fabric direction, must-keep construction details, expected quantity and brand needs.
- Private-label RFQ: selected garment or reference, logo file, woven-label placement, care-label text, hangtag/packing direction and quantity.
What a buyer should expect back
A useful first response should clarify the route being discussed, the missing information that affects feasibility, the sample direction when development is needed, and the next check before bulk discussion. It should not turn an incomplete photo or logo into a false fixed price, MOQ or delivery promise.
